Executive Assistant to CEO (USA)

Role Overview:

We are seeking an experienced, proactive, and organised Executive Assistant to provide comprehensive support across various areas, including obtaining certifications, business development, marketing, financial management, and documentation. The ideal candidate will possess exceptional multitasking abilities, strong organisational skills, and a proactive attitude to contribute to our company’s growth.

Key Responsibilities:

Certification and Business Development:

  • Research and apply for industry certifications and affiliations.
  • Register with state and local agencies as required.
  • Manage marketing platforms and campaigns, including email communication and phone calls.
  • Coordinate updates to the company website, liaising with our website maintenance team.
  • Customize and update capabilities statements as required by clients.
  • Source subcontractors and obtain project quotes.
  • Maintain updated resumes for team members.
  • Enroll the CEO in networking events, conferences, and industry gatherings.

Opportunity Analysis:

  • Study various platforms to identify and narrow down potential business opportunities with government agencies. This involves high-level funneling.
  • Assist in assessing potential projects and partnerships for alignment with company goals.

Financial and Administrative Management:

  • Update and manage the company’s Customer Relationship Management (CRM) system.
  • Assist in cash flow management and bookkeeping activities.
  • Organize the CEO’s schedule, appointments, and meetings.

Documentation and Process Improvement:

  • Collaborate with the CEO to document processes and workflows from inception.
  • Help record and document existing work created for private sector clients.
  • Contribute to the CEO’s vision of creating an online platform for offering services.

Marketing and Online Presence:

  • Manage social media accounts, posting relevant content, and engaging with the audience.
  • Assist in creating and implementing marketing strategies to enhance the company’s online presence.


  • Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).
  • Proven experience as an Executive Assistant, Business Operations, or Marketing Coordinator.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite, CRM systems, and social media platforms.
  • Ability to handle multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Strong analytical and research capabilities.
  • Entrepreneurial mindset with the ability to work independently.
  • Basic financial analysis skills and understanding of bookkeeping principles.
